Reporting an Incident via the Club

What to do if you have an incident with the ferry or other craft:

BMT Seatech was contracted by Lymington Harbour Commissioners (LHC) to report on the safety aspect and Risk Assessment with a post season review in November.

In order to be properly informed when discussing the post season report with the Commissioners, and at future times, it has been agreed that an incident recording process is put in place such that members may complete standard forms that are in line with that of LHC and reporting is made as easy as possible. The intent is to ensure that we have a record of all incidents, small or large and a transparent system of dealing with them.

Guidance Notes

1) Blank forms are available from Reception, the notice boards and the website* click here to download.
2) Completed forms should be handed in a Reception* as soon as possible after but certainly within 48 hours of the incident. These will be reviewed by Rear Commodore Sailing, recorded, acknowledged and distributed to LHC by the Club Secretary or Operations Manager. If Reception is shut please post the form in the letter box opposite reception.
3) The Club will copy the submitted reports and distribute to LHC.
4) Your completed forms will be acknowledged and you will hear, either from LHC or the Club, the action being taken.
5) Any matter of clarification will come from LHC direct to the signatory of the report and copied to the club.

* The online form is a pdf and can be completed online (typing the information on the screen) it can then be printed and sent to the Club by fax or delivered by hand or post.  At the top right of the form you will see three icons (printer, save disc, send envelope) the print icon covers the first method of delivery.  If you click the "save" icon you can save a copy of your completed report and then email it as an attachment to the Club.    The "send" icon only allows you to send a link to the form or email a copy of the blank form as an attachment.
